Automating 5 hours of work a week with ChatGPT in 2026

Published 20 May 2026 · Updated 20 July 2026

The promise that "AI will save you time" stays abstract as long as you don't know which tasks to delegate. Here are the five most reliable time pools for a working professional, with the essential guardrails — especially around data. The 5-hours-a-week estimate is a realistic order of magnitude for an administrative or office role; your result will depend on your job.

1. Recurring emails and messages (≈ 1h30/week)

Standard replies, follow-ups, information requests: give the AI the context, the desired tone and two examples of your own emails — it produces a draft in ten seconds that you review and adjust. The gain comes from reviewing (30 seconds) versus writing from scratch (5 to 10 minutes).

2. Summaries of documents and meetings (≈ 1h/week)

Reports, minutes, 40-page proposals: ask for a structured summary (decisions, key figures, actions), then ask follow-up questions. For meetings, a transcribed and summarised recording replaces note-taking — with the participants' consent.

3. Monitoring and preliminary research (≈ 45 min/week)

AI does the rough work: overview of a topic, tool comparison, questions to ask a provider. Absolute rule: any factual information feeding a decision gets verified at the source (official site, original document). AI guides your research, it does not replace it.

4. First drafts of documents (≈ 1h/week)

Proposals, job descriptions, internal procedures, LinkedIn posts: the first draft is the slowest part of writing. Provide the structure and key points, get a 70% draft back, and invest your time in the 30% that makes the difference — your expertise and your voice.

5. Structured repetitive tasks (≈ 45 min/week)

Reformatting a table, categorising expenses, extracting information from a series of PDFs, preparing data for a tool: describe the input and output format, paste one example, and let the AI process the batch. To go further, no-code connectors (Zapier, Make) trigger these treatments automatically.

What NOT to delegate

  • Binding decisions: hiring, dismissal, pricing, legal, medical — AI prepares, the human decides.
  • Sensitive data: never put identifiable client data, salaries or trade secrets into a consumer AI tool without a clear framework (Swiss Data Protection Act!). Anonymise, or use an enterprise offering with contractual guarantees.
  • Content you sign with your own name without reviewing it: one undetected hallucination costs more than the time saved.

The SFM method in one sentence

Pick ONE task this week, time it before and after, keep what saves measurable time — and only then move on to the next one.

Frequently asked questions

Do I need a paid subscription to automate with AI?

Not to start: the free versions are enough for emails, summaries and first drafts. A paid subscription becomes useful for large volumes, heavy files and advanced features.

Can I put client data into ChatGPT?

No identifiable personal data in a consumer tool without a clear framework: the Swiss Data Protection Act applies. Anonymise the data, or use an enterprise offering with contractual no-training guarantees.

Will AI replace my job?

The transition favours those who know how to hand repetitive tasks to AI and focus their time on judgement, relationships and decisions. It is a skill that can be learned — that is exactly what the SFM Academy AI path teaches.
